Office ceiling lighting
The ceiling decides before the catalogue does. Before choosing wattage, colour temperature or finish, what really governs an office is what sits overhead: an accessible grid ceiling, a continuous plasterboard ceiling or an exposed concrete slab. Each one takes a different mounting system, and getting it wrong means re-planning once the material is already on site.

Office ceiling lighting: what each suspended ceiling will take
In an accessible suspended ceiling with an exposed grid, the fitting that drops in without any cutting is the one that matches the tile exactly. That is why the 60x60cm format has become the standard: it replaces a tile and sits flush. The 120x30cm does the same in elongated grids (some manufacturers list the same fitting as 30x120cm), and half-tile formats cover corridors and circulation areas. The range is in LED Panels, and it is where almost all the LED office ceiling lights we supply for projects come from.
Continuous plasterboard has no grid, so the decision is different: either you cut an opening and recess the fitting, or you surface-mount it. Recessing means coordinating the setting-out with the ceiling installer. Surface mounting lets you work on a ceiling that is already finished, which is exactly what you want when the office is occupied.
An exposed concrete slab, common in offices in converted industrial buildings, allows neither option at a useful height: there, you suspend. The fitting drops down towards the working plane on rods or steel cable. In these cases it is worth ordering the suspension kit with adjustable height, because the final level is almost never the one on the drawing.
A detail that is often overlooked: the same panel works in all three situations if you order the right accessory. Surface-mount kits, plasterboard frames and suspension kits are in the category itself, and they turn a grid fitting into a surface-mounted or suspended one. That is what lets you fit out an entire building with a single product reference, and it is why LED ceiling lights for offices are ordered by format even when every floor has a different ceiling. This is how office ceiling lights are chosen: format first, then mounting system.
How much light a workspace needs and why UGR matters more than watts
The question we get on the phone when someone is ordering office ceiling lighting is usually how many watts they need, and it is the wrong question. What you design for is lux on the working plane, not installed power. Two fittings with the same wattage and different optics give results that look nothing alike.
The figure that separates a well-lit office from a poorly lit one is UGR, the Unified Glare Rating. Where people look at a screen for eight hours, a bright fitting within the field of view causes eye strain even when the average level is correct. That is why offices call for UGR19, and why we state it on the product sheet when a fitting meets it.
The third factor is energy efficiency, measured in lumens per watt. A fitting that delivers more lm for every watt consumed cuts the electricity bill and, above all, lets you install fewer points for the same level. In a multi-floor refurbishment that difference shows up twice: in materials and in labour.
The light source determines the distribution. A panel with a diffuser delivers a bright, even plane across the whole surface; a recessed spotlight concentrates the luminous flux into a cone. The first lights the open-plan work area; the second works point by point.
And there is a fourth factor that appears on no data sheet: employee wellbeing. A working environment with controlled reflections and no flicker lets people concentrate without noticing the effort, and that means fewer complaints about tired eyes by mid-afternoon. When you ask us for a calculation, what we send back is how many suitable luminaires you need, in what grid and with what uniformity, based on the specific needs of each floor. Not a product list.
LED panels and downlights: two ways to light an office ceiling
The LED panel is the default solution for an accessible ceiling. It covers the surface, distributes light without harsh shadows and fits in without breaking the ceiling module. Our ranges use a driver from Philips or an OSRAM chip depending on the model, with the usual wattages in standard formats and up to 80W in the large ones; the 36W LED is the one specified most often over desk areas because it suits the typical clear ceiling height of an office floor. There are multi-wattage versions that let you select the power on the fitting itself during installation, and fittings with an acrylic diffuser that soften the brightness.
Surface-mounted luminaires are the answer when the ceiling is continuous and you do not want to open it up. They mount on the surface, come in round and square versions, and there are models with built-in sensors for toilets, archive rooms and circulation areas. The LED downlight works point by point: reception, corridors, small meeting rooms, private offices. Here the variables are the beam angle and the trim finish, because the fitting is visible. There are frameless ranges and adjustable models to aim the beam at a picture or a specific area. A fitting of this kind needs IP20 in dry interiors and steps up to IP44 in toilets and changing rooms, where there is moisture. They are in LED Downlight Spotlights.
For open-plan spaces with long rows of desks, continuous lines change the approach: instead of individual points, you install bars that join into a continuous line above the row of workstations, in 60 and 120 cm lengths and longer runs. That range is in LED Linear Lighting.
LED light and colour temperature: what each area needs
In office ceiling lighting, the colour of the light is chosen for function, not taste, and it is the decision most often corrected too late. For administrative work, the intermediate 4000K is installed: it keeps people alert without feeling clinical, and it is the colour temperature at which the eye picks out on-screen detail best. That neutral white light is what nearly all our customers ask for.
Warm white at 3000K, the familiar warm light, listed on some data sheets as 3000 K, is reserved for reception and waiting areas, where you want people to relax. It is also the colour temperature for break rooms. Cool white at 6500K, or simply 6500, has its place in plant rooms and internal storerooms, where contrast is what matters.
What has changed the way people buy is switchable CCT. A single fitting offers three selectable colour temperatures via a switch on the unit itself: the colour temperature is decided at installation, not at the time of ordering. And some ranges go up to four or five settings, not just 3 colours.
That solves two problems at once. Stock, because one product reference covers the whole project. And ordering mistakes: if a room needs the intermediate tone and warm had been planned, you change it without returning anything. For resellers, this selectable-colour LED technology halves tied-up stock, because there is no longer any need to duplicate every reference. Choosing the type of lighting by zone, rather than by catalogue, is what stops a floor from ending up with two different colour temperatures in the same corridor.
Dimming, detection and control: the part that really saves energy
An installation running at full output all day consumes far more than it needs to. The two mechanisms that correct this are dimming and presence detection.
A dimmable fitting lets you reduce the output when natural light comes in through the façade. Ours come with different protocols depending on the range: TRIAC for simple installations, 0-10V and DALI for zone control and integration with the building management system, and PUSH versions that work with a standard push button. Choosing the protocol before ordering avoids the classic problem: buying equipment that then cannot talk to the control system.
The sensor works on another level. A motion sensor switches the light on when someone enters and turns it off by itself after a set time, and it pays off in toilets, archive rooms and occasionally used rooms, where lights tend to be left on. There are models with PIR detection and others with microwave radar, which detects through the suspended ceiling and lets you keep the device hidden. A third level, the daylight sensor, adjusts switching according to the light outside: it works well on floors with a lot of glazed façade.
For multi-purpose rooms that combine work and presentations, there are RGB fittings and models controlled via Bluetooth or by remote control, which change the atmosphere without touching the installation. In a meeting room used for video calls it is also worth working with indirect light, bounced off the ceiling or wall: a fitting shining straight down onto the table creates harsh shadows on faces.
Adjustable wattage completes the picture. A single body that can be set to 24W or the next level up lets you fine-tune the light level floor by floor without changing reference, and it is the quickest way to correct a room that ended up brighter than designed.
Office lamps for reception and common areas: where the fitting is on show
In the desk areas, technical performance rules. In reception, office ceiling lighting also carries the company's image, and there the criteria change.
A pendant light above the front desk is the first thing visitors see, so it is chosen as much for its finish as for its light output. We supply models with metal bodies and others in natural fibres with an E27 lamp holder, as well as integrated circular ranges in several diameters. A piece made of metal with chrome finishes suits a corporate reception; an elegant, minimalist design with clean lines fits better in design studios and law firms, where the aim is style and sophistication without clutter. Diameter drives the result. A 39cm piece lights a short counter; a long boardroom table needs several units in a row or a larger diameter, and narrow corridors call for 30cm models that do not get in the way. For this reception area it is worth ordering the suspension height-adjustable, because the final height is set on site once the furniture is in place.
Replacing the light source in an existing fitting does not involve touching the body: a bulb with a GU10 base or a screw base replaces the source and leaves the body where it is. Where the installation also needs air movement (top-floor offices, rooms with south-facing façades), the catalogue includes the ceiling fan with an integrated light, which you will find in LED Ceiling Fans. The decorative and the technical do not compete: they occupy different areas of the same project.
Office lighting: replacing fluorescents and buying the complete project
A good share of the offices that call us still have fluorescent tube fittings mounted in the grid, and the question is always whether the ceiling has to come down. It does not. Either you replace the complete fitting with a panel of the same format, or you keep the housing and change only the tube, removing or bypassing the starter and, in many cases, the ballast. The calculation worth doing before deciding is the maintenance one: a fluorescent tube is replaced several times over the service life of the LED that replaces it, and every change means a visit, a ladder and a person. In a building with hundreds of light points, that recurring cost outweighs the difference in material price, and it is the argument that convinces the facilities manager when purchasing only looks at the invoice for the first order.
As professional lighting specialists, what we are asked for most before a large order is that preliminary DIALux calculation based on drawings: we send back the grid of light points, the average level and the distribution, and with that the quote stops being an estimate. Opening a trade account requires the usual documentation (registration form and company or self-employed papers sent to the sales email address), and once the account is active you get trade prices, volume discounts and the option to apply for a credit line, subject to approval. For resellers there is also blind shipping and dropshipping with the catalogue connected to their own shop.
Shipping costs are calculated in the basket according to weight, volume and zone, and are shown before you confirm; the Canary Islands, Ceuta and Melilla require DUA customs processing and prior contact. The warranty is up to 6 years depending on the product, with three years as standard, and returns are handled by RMA from the customer area, with return carriage paid by the customer. The material for an entire building therefore comes from a single order, with one invoice and one point of contact, which is exactly what gets lost when material is bought from three different suppliers.
Questions installers ask us before ordering
Which format should I order for a standard accessible ceiling?
The full-tile format, which replaces one tile and sits flush without touching the grid. If the grid is elongated, the long format does the same. Measure it on site: some ceilings have a 62.5 cm module that needs an adapter frame, and it is worth checking before finalising quantities because the frame is ordered separately.
Can I mount a fitting designed for recessing on continuous plasterboard?
Yes, with the surface-mount kit from the accessories category itself. There is also a suspension kit if the ceiling is high or exposed. It is the same fitting with different mounting hardware, so you do not change reference halfway through the job.
Is it worth specifying UGR19 across the whole floor?
The difference shows in the areas with screens. In corridors, archive rooms and toilets you can relax the requirement without anyone noticing, and there the criteria become the robustness of the fitting and maintenance.
How do I know which dimming protocol I need?
It depends on what is in the distribution board. Without a control system, TRIAC or PUSH work with the push button already installed. If the building has centralised management or you are going to zone by floor, order DALI or 0-10V and confirm it before placing the order.
Can you design the ceiling lighting for an entire office in one go?
Yes, and that is exactly when it pays to request the calculation first: with the grid finalised we know how many units of each reference are needed and we reserve stock so the whole project is supplied from the same range and the same colour temperature.
What happens if, two years from now, I need to replace a specific fitting?
That is why we work with complete product families rather than one-off stock deals.
